JOB TITLE:                    Assistant Manager – Sales Administration

TITLE OF IMMEDIATE SUPERVISOR: VP, Sales Administration

GENERAL DESCRIPTION:

This position will provide day to day administrative support to the Vice President of Sales Operations.   The position works closely with all functions including sales, field sales, shows & events, education, marketing, finance, creative, human resources, general management and outside vendors.   

 

SPECIFIC RESPONSIBILITIES:

 

Sales Materials

Creates Monthly Game Plan

Manages monthly Redken/Pureology Sales Meeting Deck timeline w/Mktg

Manages due date timeline

Ensure the decks are field friendly communication. 

 

Field Liason & Communication

Point Person for Field (daily questions)

Responsible for compling Weekly Field Communication Bulletin

Manages due dates and organization of bulletin by topic and ensures communication is clear for Field. Determines communication sense of urgency, if it needs to go out "off cycle" to Field

Communicates Price Increases to all Field, SalonCentric & Distributors

Update Sales Calendar, Field Roster & Org Charts and distributes.

 

Field PO's & New Vendor Set Up

Opens all Field PO's and Dept PO's.  Follow up with approval, invoices & payment

Sets up new vendors in our L’Oreal system (Adobe Live Cycle) when needed

 

Passport

Assist with inputting all annual sales programs in passport w/program details, budget & phasing and generating reports

 

Monthly Mailings

Maintain Field list - set up and deactivate Field Sales

Update Monthly mailing labels for Streetsboro mailings. Gather changes from SalesForce and emails to update all changes (includes all SC, DSC's, prem Spec, Stores, Rk/Pur Artists)

Maintain Monthly Control Sheet (identifies mailing contents & quantities by group) for Streetsboro mailings.  Post to Sharepoint

 

Show Deals

Manage yearly show process to include open stock orders & show deals for each show

Responsible for collecting prior year sales info & actualizing shipped vs sold worksheet

Responsible for a suggested qty for show deals and open stock per show and providing to Marketing for review

Align with Marketing on qty's and forward final order to DP (Aaron)

 

 

 

Education Management for Pillar Programs

Works with Education to set up po's for randstad (artist), mannequins, MMS for registration & kits

Liason with EEM's on preliminary & final budgets per program  

Track budgets and review if break even or if Field need to cover difference with Fuel

 

Meetings

 Assist with meetings/events.  Meetings to include: EMS, Promo Structure, Divisional, Focus/Street, NSM/Symposium, RAC

  Hotel rooming list

    PO for meeting location

    Mailings (prior to event)

  On site contact with hotel

  Agendas

  Book Conf rooms and assist with evening event planning

Sharepoint

Responsible for uploading any shared information that is communicated from Marketing to the site  (overviews, meeting decks, price lists)

Creates Sharepoint mapping directory and communicate to Field, Sales Management & Marketing

Add/deletes users - set up as reader and/or contributor to site

 

Indies Credit Workflow

Create credit  approval in Workflow system for all Indies

    - Credits to include PDA, Education, Fuel, Incentive (25 avg per month)

 

Literature Management with Concierge

Point person for Concierge & Marketing

Tracks inv levels

Manage Sku availability form updates with Marketing & shipments from Streetsboro to Concierge

Creates po and tracks monthly invoices for Concierge

 

Field Sales Set Up

Set up & deactivate Field Sales employees

responsible for all equipment

responsible for setting up all IT access to systems & drives needed

Sets up inductions

Orders business cards, stationary

 

Sales Consultant Programs

Liaison for Field with Salon Consultants Int’l  (Peter Mahoney/Glenn Baker)

  communicate booking requests from the Field to Salon Consultants Int'l

  Invoices - track days worked and expenses

  Open PO's for fee & expenses  on an annual basis

 

Sales Shared Drive

  Managing Sales folder Library

 

Other

  Review CTA account expenses, determine where budget should be reclassed and submit monthly expenses

  Order & maintain RK & Pure Field Sales banners & tablecloths

 

 

 

SPECIFIC REQUIREMENTS:

  • 3+ years experience in providing administrative support to senior executives
  • Strong computer knowledge in Microsoft applications, ie. Microsoft Word, Excel, PowerPoint, Outlook.  
  • Strong interpersonal skills with a high aptitude for customer service.
  • Solid written and verbal communication skills.
  • Budgetary accountability
  • Strong negotiation skills
  • Well-defined organizational skills.
  • Must have a professional attitude; function well in a team environment and under pressure. 
  • Commitment to personal development and continuous learning.
  • Some overnight travel required (up to 10-20%)           
  • College degree preferred
