Position Summary:

Performs advanced, diversified, and confidential coordinator/administrative duties requiring broad and comprehensive experience, skill, and knowledge of organization policies and practices; exercises discretion and independent judgment; works under minimal supervision.

Key responsibilities:

Coordinates and manages team calendars and schedule appointments and meetings; be cognizant of maintaining a manageable meeting load; confer with team on a daily basis to ensure calendar is manageable and up-to-date

Reconcile and prepare accurate, timely expense reports following the Company travel and expense policy

Open and manage purchase orders, as needed

Prepare and type correspondence, ensure correct spelling and grammar usage

Coordinate and prepare organizational announcements on behalf of manager

Answer and screen telephone calls and arrange conference calls, including remote interviews using SKYPE

Independently suggest agenda topics for meetings, send meeting and reminder notices and confirm attendance of invitees; reserve appropriate meeting space, catering, seating, supplies, and equipment

Compile and distribute meeting minutes and independently coordinate follow-ups, as necessary, to ensure appropriate actions are being taken

Arrange and coordinate travel schedules and reservations

Plans and organizes divisional meetings/summits, as necessary, maintaining budgetary spend

May approve general workflows on behalf of manager

Organization Impact/Influence:

Nature and level of contacts: Coordinator must have the ability to interact effectively with all levels of employees and external contacts, including the Sr. Management of L’Oreal USA, L’Oreal Americas and Worldwide management for their relevant division and/or function.  They must be able to establish and maintain relationships with outside suppliers/contractors/vendors.

Requirements and experience:

7+ year’s previous administrative and/or coordinator experience supporting a team

Strong MS Outlook skills to effectively manage calendars

Ability to work independently to prioritize and organize self and manager

Proficient with MS Office

Ability to handle confidential, sensitive information

Must be flexible and willing to be available 24/7

Travel: as needed, domestic travel required in order to support and facilitate meetings led by the team
