Job Title:           Coordinator, Strategic Planning, Wholesale Sales

Job Summary

The Coordinator of Strategic Planning is responsible for owning the non-saleable process (including Step-ups, Samples, and Returns) for all wholesale accounts reporting to the Senior Manager of Strategic Planning.  In addition, performing all administrative functions for the wholesale team as needed. This person will work closely with the entire Strategic Planning Team and act as a liaison between the home office, field, buying offices, and various cross-functional teams (including Marketing, Demand Planning, Social, Customer Service and Digital Marketing).

 

Job Responsibilities

  • General Functions
    • Point person for all nonsalable, sampling and return needs
    • Key liaison between the Strategic Planning team and the retailer, field, customer service and all cross-functional teams
    • Responsible for all team administrative tasks
  • Manage Non-saleable
  • Oversee Step-up process
  • Allocate by door and key nonsalable orders with approval of Planner
  • Responsible for all nonsalable tracking for specialty and department – work in partnership with customer service in distribution center
  • Communicate all shipping and tracking information to the field and/or retailer
  • Forecast and manage wholesale collateral budget and field requests and key all orders bi-weekly
  • Manage Sampling
    • Maintain seasonal Sample File in partnership with marketing counterparts
    • Responsible for allocating and communication with retailer on all sample orders
    • Manage execution of receiving PO & track timing of all shipments (start to finish)
  • Retailer Comps/Sample Closet:
    • Key all gratis, comps, expedites, and car stock orders for all retailers
    • Ensure closet is stocked/organized with core SKUs in order to avoid last-minute purchases
    • Point person for all retailer comp requests including shipping and tracking to ensure arrival before deadlines
  • Manage Returns
    • Responsible for keying all retailer return requests for damages, testers and old age in LEAP
    • Manage communication with retailer with RA#s
    • Maintain return tracker file with clear visibility
  • Retailer Tasks:
    • Fill out and turn in retailer specific forms (add/deletes, launches, product set up)
    • Manage and maintain retailer assortments, door information including fixture types, endcaps, etc.
    • Own uploading of SKU information and price changes in retailer portals (PIM)
  • Meeting Preparation/Set-up:
    • Assist with meeting set up: Gratis, Conference Room I-pads, Beverages
    • Order team lunches/snacks for meetings
    • Lead prep for all seasonal market meetings
  • Administrative:
    • Oversee UPS account. Print and label all items being sent from the home office
    • Create and manage POs in internal system
    • Set up new doors in Sales Force
    • Special Pricing for Ad Hoc needs
    • Manage Kiehls.com specialty/department address changes, door closings and new door additions
    • New door opening graphics: Align with marketing and sales on needs for signage, collateral, etc.
    • Complete and maintain a field audit for all wholesale doors (specialty/department)
  • Field Support:
    • Point person for any questions on non-saleable including animation pack tracking, samples for events or new door collateral
    • Responsible to managing the non-saleable portal and addressing field needs
    • Compile deck and send out recap for weekly STM/STE Webinar
    • Shipment of Car-stock and Testers for field team members
    • Ad Hoc support to all sales team members
      • Execution of Sephora and Ulta assortment schematic files for all gondola updates to reflect current assortment by shelf
      • Manage all MyMarket POs for freelance in partnership with the Field Directors
      • Digital exposure tracker monthly updates in partnership with EKAMs
      • Weekly reporting (OOS report, MOB)
