People Development & Learning Team Coordinator (Admin/Assistant Manager)

People Development & Learning Team:

What You’ll Do:

The person in this role provides executive level support to Head of People Development & Learning and will be central to aligning and supporting the entire People Development & Learning team. The Team Coordinator will also be responsible for the planning and execution of team projects, as well as ensuring superior customer service to all People Development & Learning stakeholders.  This role also has responsibility for managing the L’Oreal USA Executing Coaching Program process and will be the US liaison for global seminar by nomination programs.

Specific Responsibilities Include:

Administration Support:

-Provide administrative support to Head of People Development & Learning. This includes: scheduling (often with international & US senior executives, and outside partners), expense reports, travel arrangements, maintain flow of information to team, assist with presentations & communications, and executive offsites

- Supervise the schedule for the Hudson Yards Learning Center. Ensure that all parties using the facility are following the guidelines for proper usage.

-Manage department activity: Proactively plan and schedule department operational and planning meetings, organize team celebrations, order supplies, raise and manage POs for the department. Organize key stakeholder meetings & help with any project that affects the entire team.

-Onboard new members of the Learning team by teaching systems and sharing processes

-Assist with logistics, facilitation and implementation of corporate projects and programs

Data Management & Validation:

-Seminars by Nomination (International): manage nomination and enrollment process, maintain cancellations, wait-list, detailed tracking system for employee participation with Learning records, Prism, & Unity system maintenance. Facilitate communication between Learning International (France), Zone countries, and L’Oréal USA divisions and entities to process participants in programs.

-US Program Tracking: ensure tracking of all learning activities in systems (course creation, enrollments, attendance) and validate nominations from HR using employee training history

Coaching & Consultant Program Management:

- Oversee Executive Coaching process: manage roster of external coaches, keep all information current, manage chemistry matching process, tracking of all engagements, contracting, and financial governance.

-Manage relationship with external partners and ensure timely responses and relevant screening & governance.

Required Skills and Experience:

We are looking for someone who can drive projects in a structured and detail-oriented manner, manage complexity, use data to measure success, and communicate effectively with employees and stakeholders.

 

  • Undergraduate degree
  • A minimum of 1 year of experience with a large, complex organization is desired, specifically in HR / Learning
  • Verbal and Written Communication Skills:  is able to communicate a message in an engaging and inspiring way
  • Analytical Skills & Data Analysis:  is able to perform data analysis and create story around data; must be proficient in Excel (VLOOKUP, pivot tables, etc.)
  • Project Management Expertise: is able to set goals, manage timelines across multiple simultaneous projects and execute with excellence
  • Customer Service:  acts with the employee in mind, establishes and maintains effective relationships with employees and HR counterparts to gain their trust and respect, collects feedback from employees and HR to improve service
  • Collaboration: is able to engage cross functional partners to drive towards shared objectives, work closely with other Learning team members to share best practices and ensure high quality program delivery
