The Associate Vice President, Creative Operations is responsible for the creation and execution of processes that facilitate the on-time delivery of high-quality creative assets for the IT Cosmetics Global Brand, leadership and development of the creative operations team, and the quality of all outgoing artwork and final deliverables. Oversees all functions of the department including creative request receipt and review, job creation, establishing timelines, job tracking, trafficking, workload prioritization, project release, final approvals and delivery of final assets. The position is responsible for creating, enforcing and directing process across all creative channels as well as the development and on-going optimization of workflow between internal departments. He/she acts as the liaison between the Creative department and all internal cross-functional teams by communicating key dates, keeping all involved parties up to date on the project status and noting and escalating delays, when necessary.

 

Basic Duties/Responsibilities – outlined below but not limited to:

  • Manage all aspects of creative development, including timeline creation, implementation, resource allocation and reporting
  • Lead, mentor and train Creative Operations team of (4) on internal processes and aid in developing goals to shape career growth within the organization
  • Communicate work flow within the Creative team by acting as primary point of contact and support for all active creative projects
  • Develop relationships with cross-functional partners (i.e. Sales, Product Development, Retail, Marketing, Brand Development & Operations) and ensure business needs are met throughout creative development process
  • Oversee daily workflow of all projects inclusive of print, packaging, digital and video initiatives by routing layouts/mechanicals, establishing timelines and maintaining open communication with all cross-functional partners 
  • Partner with Creative Operations team members to maintain systems for project workflow and communications along with department process needs
  • Work to ensure delivery times and specs for all programs are met, in addition recognizing potential issues before they occur
  • Ensure project briefs are fully complete before commencement of work
  • Manage stakeholder routing and approvals of creative and feedback
  • Help organize and gather assets for projects as needed
  • Coordinate with all Creative team members and other cross-functional departments on delivery of assets
  • Negotiate and propose options for prioritizing workloads and time spent on work
  • Review and understand business and creative goals of each project and speak to those as needed
  • Identify, collaborate, develop and implement new creative processes for global expansion
  • Prepare for weekly Creative meeting with CEO/Founder by staying on top of teams for deadlines, ensure materials are reviewed by appropriate approvers prior to CEO/Founder review and have all reference materials printed and ready for presentation
  • Lead weekly production meeting to discuss status of all active projects running through
    the Creative department utilizing project management tracking tool
  • Assign tasks to Copy and Design team members while evaluating current workload and, when necessary, employ freelance talent to help with project overflow
  • Must possess strong and highly detailed understanding of brand standards to ensure all project deliverables stay “on brand”
  • Partner with Product Development and/or Operations departments or work directly with 3rd party vendor(s) to quote out print projects when needed
  • At times, requires supporting and assisting with other facets of the Company's operations

 

Skills and Experience Required:

  • Bachelor's degree
  • 8-10 years of project management or related experience
  • Agency experience preferred
  • Beauty experience a plus
