As a Divisional Assistant at L’Oréal, you will play a crucial role in providing administrative support to our Professional Products Division, ensuring smooth operations and contributing to our continued success.

 

A Day in the Life

  • Diary & Meeting Management: Manage complex calendars, schedule appointments, and coordinate internal and external meetings, ensuring efficient use of time and resources.
  • Travel & Expense Coordination: Book travel arrangements, process expense reports, and handle related logistics with meticulous attention to detail and adherence to company policies.
  • Document Preparation & Management: Create and format presentations, reports, and correspondence, maintaining a high level of accuracy and professionalism in all documents.
  • Communication & Stakeholder Management: Act as a point of contact for internal and external stakeholders, responding to inquiries, directing requests, and maintaining a professional and helpful demeanor.
  • Project Support: Provide administrative support to various projects, including preparing materials, coordinating tasks, and tracking progress to ensure successful completion.
  • Office management: implementing strategies and processes to optimize productivity, efficiency, and working conditions within the division.
  • Event Co-ordination/management: Assisting in managing events across the various divisional brands and helping add value as an event specialist in terms of flow and execution. 
  • Academy management: Putting together and managing a process and flow for the brands/divisions/support functions and ensuring that the academy is always pristine. 
  • Marketing Assistance: Assisting in key marketing activities across various divisional brands, including in-salon branding, managing local brand social media pages, and any administrative tasks required by the marketing teams. 

 

Professional & Technical Competencies Required:

  • Exceptional Organizational & Time Management Skills: Proven ability to prioritize tasks, manage multiple deadlines, and maintain a high level of accuracy under pressure.
  • Strong Communication & Interpersonal Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with individuals at all levels within the organization and with external parties.
  • Proficiency in Microsoft Office Suite: Advanced skills in Microsoft Word, Excel, PowerPoint, and Outlook, with the ability to create professional documents and manage data efficiently.
  • Discretion & Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality at all times.
  • Proactive & Solution-Oriented: Takes initiative, anticipates needs, and proactively seeks solutions to challenges.
  • Proficiency in Canva: advanced skills in Canva with an ability to create professional designs (e.g. invitations, flyers, mailers, newsletters etc.). 

 

Education & Experience:

  • High School Certificate or equivalent required; Bachelor’s Degree in Business Administration or a related field preferred.
  • Minimum of 2 years of experience providing administrative support in a fast-paced, corporate environment.
