Job Title:  Artwork Coordinator– Cerave team

Context:

Cerave is currently the fastest growing skincare brand in the US, and has been recently acquired by L’Oreal. The spirit of the team is to be lean, agile, flexible, and capable of high speed in delivering results.

Job Summary:

Creation of the pace of the team at its correct level by managing preparation and debrief meetings for important reunion. Organizes committees by sending invitation to participants (reviewing lists quarterly), booking rooms, launching visios or webex.

Organizes travels for the year for Deputy GM, Head of Medical Relations and Marketing Director: annual calendar of travels, flight and hotel booking, expenses post travels. Additional global meetings, team outings or evening could also be organized.

Good communication with assistants throughout the world is a must have, understanding the network is key to facilitate global traveling and team rhythm.

This part of the position involves sense of service, liking to help and support a team, to make their life easier and calmer in a fast moving and stressful environment ; a great sense of organization and appreciation of excel tools is necessary to complete correctly these tasks.

Artworks:

In order to bring products to life, artwork are a major and complex phase. The mission consists in briefing creative teams on needs, under the marketing team supervision, and manage communication with countries regarding timings, and feedbacks alignment.

Take into account countries annotations, check their correct implementation. Proof reading. Keep track of the budget

This second part of the position involves detailed oriented spirit, strong communication skills, organizational practices, communication among cross-functional team

Administrative Responsibilities:

  • Manage annual schedules for the DMI team
  • Organize meetings including management of attendees, booking location/AV equipment, and catering
  • Travels : create smooth travels in agreement with managers (flights, hotels, cars, visas), including expenses post travels
  • International visitors
    • Organize and communicate agenda of meetings/events, updating any changes to all participants
    • Schedule domestic travel, car service and hotel reservations (monitoring all necessary changes)
    • Plan group dinners (restaurant reservations & transportation)
    • Book meeting locations- organize AV equipment, catering, etc…
  • PO s to be handled
  • Organize, prepare and submit all time and expense reports
  • Navigate company’s resources and interface with various departments (on behalf of executives) to collect information, respond to requests, and obtain services.
  • Open and distribute executive’s mail
  • Send products and packages worldwide
  • Artwork / graphic chain implementation and follow up
  • Proof reading
  • Respect of deadlines with countries in order to launch products on time
  • Work with Diadeis, Esko, graphic chain management
  • Handle communication with countries in order to respect timings
  • Manage and execute Special Project Management (as needed)
