What are the key responsibilities?

To lead a team of 2 HR Coordinators in the execution of the following tasks:

Employee Administration Cycle Duties to prepare, distribute and coordinate all aspects of employee administration, from new starters to leavers including current employees: contracts of employment, inputting personal details, payroll changes within the monthly cycle, employee correspondence, leaver letters, severance agreements, reference requests, internal appointment confirmation, long service award certificates, gifts and letters.

Probation / Review Periods: diarise and liaise with the HRM/D to flag probation and review period end dates, liaise with line managers to complete forms and share outcomes with HRM/D flagging performance concerns and training needs.

Leavers: conduct telephone exit interview. Ensure leave details are shared with line manager and HRM/D, calculate holiday allowance remaining.

Company Cars: update fleet changes within the payroll database, communicate to fleet provider and internal fleet manager

Database maintenance: maintain internal filing and database systems: using both electronic files, payroll database (Saphir), employee cv system (CAROL), new starter process (Red Carpet).

Benefits Advice: advise employees of eligible benefits including Private Medical, Life Assurance and Pension schemes. Support employees to effectively use the benefits website

Family Leave: advise employees on Family Leave policy, prepare schedules and share with line managers / HRDs, input details into payroll database, collect MAT B1 forms to pass to payroll, track dates in family leave tracker

Organisation Charts: ensure all organisation charts reflect the previous months changes in terms of starters, leavers transfers, reflect in Carol ensuring 100% accuracy

Formal Process Advise:  provide process advice and prepare the necessary documentation in respect of capability, disciplinary, grievance, flexible working requests, sickness absence. Assume responsibility for low-level cases where appropriate.

Team support: leading the team of 2 HR Coordinators you will ensure an even divide of responsibilities and support / guide the team with their activities. Regular 121s and development sessions. Establish team and individual KPIs. Provide regular updates on team performance against KPIs. You will establish processes and ensure the business receives the best possible HR shared service.

Strong administration skills with an exceptional eye for detail to ensure 100% accuracy in all output

Highly organised, a team player and a great communicator with the ability to deal with varying levels of internal stakeholders in an appropriate manner

Proven previous experience of leading a small team within an HR/HR Operations/HR Shared Services function

Experience of actively looking for process improvement and questioning the norm

Extensive knowledge of different HR systems and databases
