L’Oréal’s Technology Incubator is looking for a new Team Coordinator based in either the New York (Manhattan), or New Jersey (Clark) office.
L’Oréal’s Technology Incubator is a global team tasked with identifying, developing, and launching innovations in the areas of digital technology, personalization and customization, connected devices, and artificial intelligence. Operating as a startup within L’Oréal’s Reach and Innovation division, the Tech Incubator drives disruptive change across the Group, developing new products and services for all of L’Oréal’s brands.
The team includes hardware engineers, user experience designers, data scientists, brand marketers, and project managers. Projects are developed through ongoing partnerships with entrepreneurs, academic institutions, design agencies, research organizations, and engineering firms.
Among technologies created and launched by the team are La Roche Posay’s wearable My UV Patch, Lancôme’s personalized foundation Le Teint Particulier, and L’Oréal Paris’ augmented reality app, Makeup Genius.
TEAM COORDINATOR ROLE
The Team Coordinator will work with the Tech Incubator’s Global Vice President to provide coordination among the organization’s 40 employees, manage internal events and communication, monitor vendors and external payments, and support the daily operations of the VP.
With the Tech Incubator spread across five offices (New York, New Jersey, Tokyo,San Francisco, and Paris) and a Global VP who travels between these locations, the Team Coordinator will be crucial in organizing team meetings and communication between all employees and locations. This person will work with each office to arrange global alignment meetings, coordinate topics and presentations for twice-yearly senior management reviews, and plan attendees for international conferences. The ideal candidate will attend high level meetings to capture information and support dissemination throughout the team.
Key accountabilities of the job:
Strong day-day management of Global VP’s calendar and meetings
POs, managing financial contracts around partner relationships
Managing a complex expense report of the Global VP’s travel in addition to travel arrangements
Coordinating team building events and conferences
Coordinating market insight tours
Coordinating multiple learning expeditions for Executive management
The Team Coordinator will also help manage the team’s portfolio of over 100 design and technology vendors. Working with each Project Manager, this person will partner with the group’s legal and purchasing departments to open purchase orders, monitor project work, and handle vendor payments. Ultimately, he or she they will support the Global VP in overseeing the multimillion dollar team budget.
Lastly, the Team Coordinator will directly support the Global Vice President. He or she will serve as the VP’s representative in the New York / New Jersey office, making in-person arrangements and coordinating directly with local teams. He or she will be in charge of basic travel arrangements and help coordinate calendars worldwide. The Team Coordinator will also compile the VP’s expenses and submit monthly reports.
The ideal candidate is a digital native: he or she should be immersed in the world of technology and be able to understand the projects and innovations being worked on by the team. He or she has a passion for devices and naturally switches from emailing in Outlook, to checking notifications on an iWatch, to sending a picture on iMessage, all while on a WhatsApp call. The right person believes any problem can be solved with technology – whether it’s used to integrate augmented reality into a retail experience, or to get an urgent signature on a contract from someone flying over the North Pole.
This person will be expected to handle a large workload and regularly onboard new responsibilities. The ideal candidate loves getting their hands dirty and wants to be involved in more aspects of the team every day. He or she will have high level exposure to strategic plans and c-level discussions and is expected to display professionalism.
With the above in mind, a wide variety of backgrounds and experiences will be considered. Candidates may include:
New graduates in the fields of engineering, science, business, or marketing with administrative experience through internships
Coordinators, administrators, or assistants with 1 to 4 years’ experience
Project managers with 1 to 2 years’ experience
