Job Summary:

Director of facilities assists the AVP of General Services and supports the General Services Team and function in the areas of day-to-day HQ operations, space and move management including capital improvement planning, annual budget preparation, tracking analysis, facility and NY campus management and special projects as assigned for the New York Campus and Berkeley Heights locations.


Key Job Accountabilities:


·         Coordinate the daily responsibilities related to the management of multiple facilities within the New York campus with focus on customer service, acting as the main point of contact for Eversource Office Services Team

·         Manage General Services Team Member and oversight of office service delivery primarily through outsourced partners, Eversource, Compass, Guardian and Related, and others

·         Oversee financial controls, workflow and operational procedures for campus operations

·         Support General Services team members to provide direction to the outside vendors, electrical, carpentry, moving and janitorial staffs – Assure work order requests are being handled with the correct balance of internal/external

·         Meet with employees and HR as needed to review space and move planning including furniture and other requests

·         Utilize WISP tool to ensure efficient and effective people management impacting both people experience and budget

·         Review Calendar & visits with AVP to assure preparedness of space and teams for significant events and meetings

·         Oversee HQ Security Access Process including badge protocols; auditing as needed

·         Monitor budget and schedules for conformity and keep AVP advised of any anticipated variances

·         Liaison with Building Management and negotiate special requests based on proper protocols

·         Support compliance with regulatory city agencies including DOB as well as and Fire Dept. Permits.  This includes inspections and walk-throughs as well as internal audits and facility reviews

·         Support design/build projects for space build-outs with internal team to assure integrated service during and post construction as well as furniture procurement and installation, voice & data & media, employee moves, and post move activities

·         Support and manage Health and Safety initiatives, Safe and clutter-free workplace, and Sustainability


Competencies Required:


·         Excellent planning skills with the ability to establish priorities

·         Excellent organizational skills and the ability to continually multitask and prioritize

·         Minimum of five years facilities/project management experience or relevant experience

·         Bachelor’s Degree

·         Strong oral and written skills with the ability to communicate with all levels of Management

·         The ability to network and manage/influence people

·         Familiarity with architectural plans a plus

·         Working knowledge of mail/shipping operations
