Business Assistant to General Manager CPD

Fixed Term Contract: Maternity Cover

The Consumer Products Division’s mission is universal: to offer the best in cosmetics innovation to the greatest number of people on every continent. Its brands are available in all mass-market channels (hypermarkets, supermarkets, pharmacy’s and retail stores). The division is the spearhead of the group’s quest to win over a further billion consumers. The Consumer Products Division includes popular brand such as L’Oréal Paris, NYX, Mixa, Garnier, Maybelline & Essie.

To provide full and professional PA/secretarial, organisational, administrative and office management support to the General Manager, organising and prioritising effectively to ensure their workload is managed competently, in accordance with changing priorities and deadlines.

Provide secretarial and administration tasks for the General Manager including extensive diary management, minute taking, collating & circulating agendas and announcements, resolving queries and preparing presentations as required.
Arrange internal, national and international meetings, make room bookings, order catering, arrange technical support, take minutes  and arrange relevant travel and accommodation.
Organise conferences, Zone visits, Away Days, Christmas parties, team night outs and other Divisional meetings as required, within timeframes and budgets.
Co-ordinate ad hoc projects as directed by the General Manager.
Provide support to Management Committee members of the division in terms of their liaison with the General Manager.  Provide cover when their PA’s are absent.
Work closely with the PA to Managing Director and other PAs in the division
Arrange inductions, schedule interviews and organise mid and end of year reviews.
Co-ordinate expenditure including collating expenses and raising Purchase Orders. 
Set up and maintain systems, files, records and procedures to provide efficient administrative processes. 
Liaise with internal and external clients in a professional manner at all times, acting as a representative of the brands and the General Manager.

Educated to A-level or equivalent qualification
