The Team/Department...

The Vigilance Assistant role works closely with the Chief Medical Officer (Head of Vigilance), Global/Zone Post Marketing Surveillance and Safety (Vigilance) Teams, Director of Customer Care and Customer Care Team, L’Oreal Call Centre Agents, Corporate Communications, Legal, Scientific and Regulatory Affairs, Scientific Advisors. In this role you will focus on Cosmetovigilance and the safety of our products for UK & ROI.
You will work closely with the Chief Medical Officer (CMO) to ensure that all health-related data and cases are processed efficiently and all health related queries across all brands and divisions are co ordinated appropriately.

Based in Hammersmith, the role demands a high level of analytical and interpersonal skills along with excellent organisation. You will be required to work both on your own and as part of a team.

Post Marketing Surveillance (Vigilance)
• Work with the CMO to process and manage the data on all health-related cases received by the L’Oreal call centre, Customer Care Team (CC), including managing patch-test requests from Dermatologists when needed
• Work with the CMO to process cases quickly and report serious cases within 24hrs of receiving to the Competent Authorities and the Secretary of State.
• Work with the CMO to co ordinate and process data on escalated health related cases, crisis management, high profile media and legal health related cases.
• Work with the CMO to deliver training to the Customer Care and call-centre team, and all the brand teadivisions on safety and reporting and managing health related cases.
• Co ordinate responses to medical questions from consumers, brand teams and co ordinate queries.
• Work with the Chief Medical Officer and the Global/zone safety teams to develop processes, procedures, and documents.
• Liaise with the UKI and global teams to share best working practices for initiatives such as training, local processes and results

• Reports to the Chief Medical Officer. Network wiNetwork with Consumer Care Team, L’Oreal call centre, Scientific, Corporate Communications, Global/Zone Post Marketing Surveillance and Safety Teams in France, Customer Care, L’Oreal Call Centre, Scientific and Regulatory, Legal Teams (internal and external), Brand Team communications, All Brand Teams, ACD Medical Team, PPD Salon Advisory, Medical communications.


Day-to-day you may be...
• Work with the Chief Medical Officer (CMO) to process and manage the data on all health-related cases received by the L’Oreal call centre, Customer Care Team (CC)

• Work with the CMO to deliver training to the Customer Care and call-centre team, and all the brand teamdivisions on safety and reporting and managing health related cases.
• Co ordinate responses to medical questions from consumers, brand teams and co ordinate queries.
• Work with the Chief Medical Officer and the Global/zone safety teams to develop processes, procedures, and documents.
• Liaise with the UK & ROI and global teams to share best working practices for initiatives such as training, local processes and results

You have...
Qualifications required
• Strong IT/data skills, interpersonal skills
• Strong project management in consumer service industry or in an agency
• Ideally some regulatory experience and experience in post marketing surveillance (vigilance)
