What You Will Learn:

This exciting role serves as the central point of administrative support for the Chief Sustainability Officer (CSO) and will also assist the broader Corporate Sustainability team in executing shared administrative processes and team events. This position involves everyday contact with high-level personnel, necessitating the essential use of tact, diplomacy and sound judgment.  Assignments in support of the CSO include but are not limited to scheduling / calendaring, booking travel, preparing expense reports, disseminating departmental information on behalf of the CSO and providing overall assistance as needed.  Assignments in support of the broader Corporate Sustainability team include managing and executing PO and vendor onboarding processes and planning and managing logistics for team events and meetings. Must maintain strict confidentiality of Department and Company information.

  • Perform administrative tasks in support of CSO, including effective and proactive  calendar management for all internal and external meetings, managing all aspects of travel for the CSO, preparing accurate and timely expense reports, and liaising with internal executives & teams, as well as external business contacts to establish seamless communication and coordination, working across multiple time zones. 
  • Perform administrative tasks in support of the broader Corporate Sustainability team, including serving as the central manager and executor of PO and vendor management processes and any other necessary team-wide administrative processes. 
  • Serve as the Corporate Sustainability team’s expert on administrative policies related to travel and expense, PO management, and vendor management and provide guidance to team members in these areas. 
  • Work closely with the CSO’s Chief of Staff to support key team-wide processes, meetings and events, including informing the monthly budget management process and coordinating logistics for onsite and offsite meetings, and other critical team events, such as Climate Week and the annual For Women in Science event. 
  • Establish and maintain relationships with members of the Corporate Sustainability team to ensure effective communication and coordination related to CSO’s calendar, travel, team events, key administrative processes, etc. 
  • Coordinate visits from executives of L’Oreal global headquarters and subsidiaries. 
  • Establish and maintain relationships with other executive/administrative assistants, both internally and internationally.
  • Effectively manage multiple tasks and competing priorities in a highly organized manner.
  • Demonstrate outstanding attention to detail. 
  • Complete tasks with limited or no direction, using judgment and discretion. 

What We Are Looking For:

  • Bachelor’s degree or equivalent work experience
  • Minimum of 3-5 years of experience 
  • Positivity, resourcefulness, teamwork, initiative, thoroughness, reliability, resilience are key factors to success
  • Must possess the highest degree of professionalism, integrity, and ability to handle highly confidential information
  • Must possess extremely strong organizational and interpersonal skills with the ability to deal with people at all levels, both internally and externally, as well as varied cultural backgrounds and creative personalities
  • Requires strong written and oral communication skills and high attention to detail
  • Highly proficient in the use of Microsoft Office (Outlook, Word, Excel, PowerPoint, TEAMS, Sharepoint)
  • Must have experience with corporate travel and expense platforms
  • Must be a proactive and forward thinker who has creative problem-solving skills
  • Must possess ability to work in a team environment across multiple functions
  • Interest in Corporate Sustainability and our L’Oreal for the Future strategy a plus

  • Salary Range: $77,100 - $108,000 (The actual compensation will depend on a variety of job-related factors which may include geographic location, work experience, education, and skill level)
