Job Summary

The role reports to the Chief Diversity Equity Inclusion Officer, North America which is a pivotal and highly visible role in the organization, working with multiple teams across the company, including Canada and the global DEI Office. The person must maintain strict confidentiality of Department and Company information; provide effective and efficient administrative support to the CDEIO, and support the DEI VP’s and team on national DEI and Thank Tank projects.  Responsibilities include, but are not limited to: calendar management, presentation material and meeting preparation, Event organization, purchase order creation and processing. Additional responsibilities include expense report preparation, executive travel arrangements, ordering of supplies and space management as well as strategic project management.


Key Job Responsibility Details

  • Coordinate CDEIO Meetings/Events and schedules including logistics such as but not limited to:
      • Booking meetings, confirmation of attendees, meeting venue selection, virtual set up, collection and distribution of meeting prep materials in a timely manner
      • Serve as timekeeper and scribe for meetings with follow up on action items
      • Proactive in preparing participants on details of the meeting
      • Liase with internal and external coordinators to ensure the timely execution of meeting requirements, working across multiple time zones
  • Presentation Management
      • Create and prepare creative presentations in timely manner, including the distribution of agendas in advance of meetings
      • Responsible for the co-creation of content and design of presentations for internal and external presentations, as assigned
      • Inquire and report on internal/external insights to support presentation content for upcoming meetings
  • D&I Event Calendar Management
      • Responsible for capturing all DEI Activities, Internal and External
      • Managing, communicating, and tracking the timelines associated with each event, in alignment with DEI Partner’s
      • Creating the necessary tools to track and communicate event status to the D&I Team
  • Miscellaneous Projects
      • Support the execution of additional projects that will be assigned by the CDIO or D&I Team members throughout the role
      • Advise reception of visitors, arrange schedule for and greets visitors and escort them to appropriate area or person


  • Bachelor’s Degree required or equivalent education or experience preferred.
  • 5+ years previous administrative experience or equivalent
  • Coursework/understanding of Cultural Diversity, Data Analytics, Human Resources, Economics, Communications, Finance a plus
  • High level of organization, attention to detail and positive attitude
  • Ability to work independently and multi-task in a dynamic fast-paced environment
  • Must possess extremely strong organizational, interpersonal, presentation and management skills with the ability to deal with people at all levels, both internally and externally, as well as varied cultural backgrounds and creative personalities
  • Analytical and able to handle sensitive and confidential information
  • Meets deadlines in timely manager and anticipate upcoming needs
  • Experience with Social Media: SharePoint, Facebook, Twitter, Instagram, and Tik Tok
  • Willingness to travel to meetings between NY/NJ
  • Proficient in Microsoft Suite, with advanced Power Point, Word, Excel, Teams skills
  • Advanced knowledge of L’Oreal Systems: Concur, Egencia, SAP, My Market, Outlook
  • Ability to analyze, research and evaluate information in a clear, concise and visually appealing manner    
  • French language skills, a plus
