Thayers Marketing Coordinator

Reports to: Head of Marketing

Location: CT/NY

Administrative Support

  • Provide administrative support Head of Marketing
    • Manage calendar, travel and expenses ensuring minimal meeting conflicts and timely expense payment.
  • Coordinate in-house and offsite meeting planning for Thayers team
    • Manage and Follow up on the Deck completion for Marketing Team
    • Coordinate and Issue an agenda 48 hours prior to meetings
    • Books Rooms and coordinate logistics
    • Coordinate issuance of Minutes

Team Support

  • Cross-functional team contact for product requests
  • Place office supply orders and maintain stock of all day to day materials required
  • Manage any shipping team requests
  • Key contact for outside vendors
  • Manage travel arrangements for the team
  • Special projects

Product Closet Management

  • Maintain necessary inventory levels for account meetings, US/DMI needs, Creative and cross-functional team requests while adhering to division budget parameters
  • Manage PR samples and donations
  • Order launch displays as needed
  • Place SHOP orders as needed
  • Supply new product launches to the DMI team, CCC and PR

Purchase Order Management

  • Process and track all POs for Thayers Team while ensuring policy compliance and timely payment to vendors. Perform year end reconciliation with A/P & Finance

Competitive Management

  • Team lead on competitive launches, tracking and purchasing
    • Track and purchase all key competitive launches in the mass & prestige markets to evaluate for trends, innovations in technology and new claims
    • Maintain full competitive product lines for review and recommend possible benchmarks to brand managers in addition to like-as formulas for project needs
    • Issue mass & prestige launch decks as part of competitive analysis, tracking performance and noting significant changes in market share and/or media spend

Thayers Office Support:

  • Act as primary POC for Thayers CT Office
    • Support EHS compliance & Procedures
    • Mail Collection
    • Compass Facilities management
    • Coordinate access to the Thayers CT Office for NY-based employees

Other Projects

  • Digital Liaison
    • Manage digital initiatives working with PR, IMC and outside media agencies (website briefs, updates, copy and other assets)
    • Track projects to ensure completion and timely responses
  • PR, Influencer & Social Liaison
    • Manage PR & Influencer initiatives working with PR, IMC and outside media agencies (website briefs, updates, copy and other assets)
    • Attend monthly meeting with PR, Ops and CCC teams
  • Creative Liaison
    • Manage the trafficking of creative assets as needed and records of digital assets and images
    • Assist team with meeting prep and graphic review
  • Shopper Marketing Support
    • Manage DPM entry for displays
    • Liase with outside creative agencies, manage promotional timelines, and track projects within ESKO/Sharepoint
  • DMI Support
    • Creation of K-codes for new launches
    • Send product shipments requested by International teams
    • Organize and send product & props shipments to/from shoots
